File Audits

A file audit involves a complete review of current paper filing management practices. This includes a sizing survey and a review of your clients IM (filing) procedures. At the completion of the audit we make recommendations that primarily focus on two objectives; reduce valuable floor space and improve file access efficiencies. In short, optimise space and time savings. Through our audit process we can determine the most appropriate and cost effective solution that meets the project objectives and design guidelines.

Beyond this, if required, we can extend the review to outline further benefits gained through technology with recommendations that includes an IM software solution. In many cases simply synchronising the two systems, improves document management practices in a way that is simple to use and works for everyone. The audit process includes:

  • Number of corporate files
  • Number of people using corporate files
  • Number of personal files
  • Volume and type of other items such as; photographs, videos, DVD’s CD’s and manuals
  • Measurement of current active files in linear metres
  • Measurement of space occupied by current active files
  • Identifying those who require access to the corporate filing system

  • Determine the process for inactive material

Within the interior design will be provision for storage rooms and areas allocated for paper filing storage. That is from active to inactive, to archive to off-site storage and ultimately final destruction in accordance with the relevant regulatory requirements. Make recommendations to reduce off-site storage and improve retention and disposal procedures.

Relocation & Conversion

We work with the removalist and co-ordinate the physical move of current files and file storage systems to be used in the new offices. This involves the installation of the new storage units, conversion from the old files to the new files, sorting into the new units and final familiarisation with the client.

We manage the changeover by assisting your client with our trained staff throughout the implementation / conversion process. We can set up the new file folders, convert from your current files to the new files and house them in the new storage units. We provide a fast and accurate service allowing your staff the freedom to do what they do best.
